Deskripsi Pekerjaan























You will:


Provide executive support to the Chief Executive Officer of the Executive Business Training Centre. You will work closely with colleagues across teams on a wide range of projects and initiatives.



You are responsible for:



·         



Managing the CEO’s diary, assessing and prioritising demands on their time; co-ordinating, arranging and supporting their meetings, including taking minutes, planning schedules and organising international and domestic travel and accommodation arrangements.



·         



Managing stakeholder relationships with internal and external customers, acting as a first point of contact with a high degree of professionalism and initiative to assist the CEO.



·         



Maintaining a contacts database for the CEO and form strong internal working relationships with senior management support staff.



·         



Researching and providing briefings for meetings and other commitments and undertaking meeting management including preparation of agendas and documents as required, preparing and editing correspondence, communication, presentations and other documents.



·         



Assisting and organising itineraries, catering and bookings for visiting delegations and events and workshops.



·         



Providing support relating to the processing of accounts payable/receivable, purchasing, asset management ensuring all meets with relevant audit requirements.



·         



Providing a range of administrative and project services to support the achievement of business unit outcomes in a timely, reliable and efficient manner, including high level administration and minor project management.



·         



Providing dedicated project support undertaking other relevant duties as directed, consistent with skills, competence and training.

Skills and Experience



Essential


·     Proficient knowledge in the use of computer software including Microsoft Word, Excel and PowerPoint, email, internet and large corporate information systems including CRM.


·     Knowledge, or ability to acquire knowledge of University policies and procedures and broad awareness of issues in a tertiary environment.


·     Completed a relevant Degree plus four years subsequent relevant experience; or extensive experience and management expertise in an administrative field; or an equivalent combination of experience and/or education/training.


 


Desirable


·      Fluency in Bahasa Indonesia and English.



Essential


·     Demonstrated skill and ability in an executive and administrative support role working for senior management, utilising organisational and time management skills to meet deadlines and resolve problems with minimal supervision.


·     Using excellent communication (oral and written) and interpersonal skills that demonstrate a strong focus on the provision of quality customer service.


·     Proficiency in minute taking and report writing and a demonstrated ability to produce logical, plain English and professionally written correspondence.


·     Demonstrated ability to work as part of a team, ideally within a distributed network, and collaborate effectively with others in a harmonious, constructive and professional manner.


Desirable


·        Experience of working (or as a student) in an international education environment.
