You will:


Providing a professional reception and first point of contact for the PT CQU Executive Business Training Centre and ensuring a high level of customer service is provided to clients at all times.



You are responsible for:



·         



Providing a high level of customer service and first point of contact for the Centre.  Attending to counter enquiries, telephone and email enquiries in a professional, tactful and courteous manner and redirecting complex enquiries to the most appropriate staff member.



·         



Coordinating timetabling of rooms in readiness for each term.



·         



Providing word processing support in the preparation of correspondence and other documents.



·         



Processing mail, including the opening, receipting and redistribution of mail and coordinating correspondence into and out of the office.



·         



Providing administrative assistance across the work area, including attending to photocopying, collating documents, filling, basic records management and tracking and bring up systems for correspondence as well as scheduling appointments and meetings and coordinating room bookings.



·         



Ordering stationery, preparing accounts payable vouchers and other basic finance related documentation for signature.



·         



Undertaking database enquiries and performing data entry.



·         



Assisting with the arrangement of domestic and international travel in a timely and accurate manner.



·         



Arranging catering and assisting with the co-ordination of events including drafting invitations, arranging venues and equipment.



·         



Attending to any other general administrative duties as required.

Knowledge and Education



Skills and Experience



·      Knowledge or ability to quickly acquire knowledge of University policies and procedures.


·      Proficient in the use of business support software including Microsoft Word/Excel, corporate database systems and email/diary management.


 


Desirable


·      Completion of a Diploma level qualification with relevant work related experience; or an equivalent combination of relevant experience and/or education/training. 



Essential


·      Proven customer service skills with ability to redirect enquiries effectively and resolve customer issues with limited supervision.


·      Proven interpersonal, written and verbal communication skills including an ability to respond courteously and professionally when dealing with clients.


·      Demonstrated experience providing professional administrative support to staff and clients including the ability to priories work and implement efficient administrative processes and systems.
